Baker Botts L.L.P. is seeking a Coordinator to join its Client
Development team in either the San Francisco or Palo Alto office.
As a member of the firm's Client Development team, this non-exempt
position is responsible for providing the tactical support of the
firmwide Intellectual Property (IP) department and serve as the Bay
Area regional team lead. Working alongside and under the guidance
of CD Department professionals and Firm lawyers, this role will
report to the Client Development Manager for Intellectual Property
with regional projects being assigned by the Associate Director,
Client Development. This position will support the IP department in
executing tasks and projects that support the department's
strategic business development goals as well as practice and
industry initiatives. This role will be responsible for assisting
in the execution of the firm's West Coast portfolio of events,
charitable contributions and sponsorships, client entertainment and
gifting programs, additional strategic marketing efforts and
special projects in the Bay Area and other markets as assigned.
Monthly travel between the Bay Area offices and surrounding area
will be required.A successful Client Development Coordinator should
possess a mix of marketing skills, be able to thrive in a
legal/professional services environment and have the ability to
take initiative. They should convey confidence, display a strong
executive presence, operate with a high degree of confidentiality,
be skilled in relationship building, and show dedication to
providing superior service and value to both our clients and our
lawyers. A thoughtful, experienced manner in dealing with fellow
professionals is required. This is a Firmwide, full-time, overtime
eligible position resident in our San Francisco or Palo Alto
offices with excellent benefits.IP Business Development essential
duties and responsibilities
- Coordinate the drafting and editing for the IP department
practice of business development and marketing deliverables,
including pitch materials, formal RFP responses, brochures, website
content and other bespoke marketing materials, electronic updates
and newsletters; track outcomes and update records of same.
- Work with Client Development team members, as well as IP
lawyers, to develop and execute events that align with the business
development strategy, including, but not limited to, client
dinners, client appreciation events, client presentations and
seminars, webinars and industry/conference sponsorships.
- Assist with regular reporting of ongoing IP practice metrics
including monthly, quarterly and ad-hoc requests.
- Collaborate with practice group leaders to develop survey/award
submission (Chambers, Legal 500, IAM 1000, World Trademark Review,
Law 360, etc.) responses and compile client references.
- Maintain departmental mailing lists for firm announcements and
events.
- Conduct research of clients, prospective targets, industries,
markets, competition and executives in collaboration with a
dedicated Competitive Intelligence Team.
- Support a variety of business development initiatives across
the firm and coordinate special projects as directed.Regional
market essential duties and responsibilities
- Assist with the development, coordination and execution,
including on-site support, of client events taking place in the
Firm's West Coast offices including, but not limited to, client
dinners, client appreciation events, client webinars and seminars,
conferences, executive committee meetings, and other events as
assigned.
- Assist with the management and execution of invitation
campaigns and mailings. This includes the creation of invitation
templates, mailing lists, communication timelines, correspondence,
RSVP tracking and various pre and post event metric reporting to
stakeholders.
- Coordinate Bay Area client entertainment ticket program. Work
with local venues to secure hospitality space, support season
ticket contracts and track usage. Communicate upcoming
opportunities with local lawyers and ensure timely transfer of
tickets to lawyers and clients.
- Update online content such as lawyer biographies, event
listings and intranet posts, including coordination with the
Communications team for social media and PR/media-related
requests.
- Schedule all local lawyer headshot photo shoots and manage
internal coordination.
- Support preparation for internal meetings with Partners in
Charge, West Coast Partners, and other Business Development related
meetings.
- Prepare and submit check requests, invoices, expense
reimbursements and complete other administrative tasks.
- Manage inventory of promotional items and assist in ordering of
new items.
- Procure, assemble and coordinate delivery of client gifts.
- Ensure proper communication with local lawyers, Client
Development colleagues, and other internal departments to ensure
firmwide information flow.
- Other event support and administrative projects as
assigned.Qualifications
- Bachelor's degree required, candidate should have 2-3 years of
marketing or related experience, preferably within a professional
services environment, a technology company or a large law
firm.
- Solid business acumen, with a keen understanding of business
development and marketing principles in professional services or
similar environments, including client targeting and client
management, and intellectual curiosity around expanding market
knowledge and awareness.
- High level of attention to detail and organizational skills;
able to keep track of, and prioritize, many time-sensitive tasks
and change gears as priorities shift.
- Ability to thrive in a fast-paced, deadline-driven, and
client-focused environment with a high degree of flexibility and
responsiveness.
- Strong skills in written/verbal communication, should be
comfortable interacting with firm leadership and key department
personnel, and work well with lawyers and staff within the
firm.
- Highly motivated self-starter, strong work ethic, enthusiastic
"can-do" attitude and eagerness to take ownership of job
responsibilities and help the larger team, as necessary.
- Proficiency in Microsoft Word, Excel, PowerPoint and Outlook is
required. Knowledge of iManage/Desk Site, DealCloud (or similar CRM
platforms), Foundation (or similar experience management databases)
and Vuture (or comparable email marketing platform) is
preferred.
- Comfortable with technology and have the ability to learn and
become expert with a variety of software applications. Knowledge of
Web-based legal and business resources, such as Docket Navigator,
CapIQ, Lex Machina, PitchBook, Juristat and others, are a
plus.
- Flexibility is required to work occasional overtime for event
coordination and time-sensitive projects.
- Must demonstrate a proven ability to handle confidential
information with the utmost discretion.
- IP, Litigation, and/or hi-tech company with event experience a
plus.Extent of Public Contact (Within and Outside the Firm)This
position requires contact with individuals within the firm as
follows:
- a high degree of contact within the Client Development
department
- a high degree of interaction with firm lawyers
- a moderate degree of contact with other staff departments
within the firm (professional development, practice management,
etc.)This position requires contact with individuals outside the
firm as follows:
- a moderate degree of contact with partnering organizations,
vendors, suppliers and others in the event planning arena for
special events
- a high degree of contact with firm clients and prospective
clients in connection with firm events, partnerships and
initiatives.Physical Demands
- Must be able to work at a computer and telephone for extensive
periods of time.
- Must be able to routinely lift and carry event materials and
other items up to 10 pounds.
- Must be able to lift, squat, kneel and bend.
- Position requires the ability to visit face-to-face and on the
phone with firm lawyers, staff, and external contacts.
- Must be able to function in a standard office
environment.Working Condition and Environment
- Must be available to work overtime, including weekend hours,
when necessary to meet established deadlines or stay current with
occasional peaks in workload. Must be willing to change regular
work schedule to meet the needs of the Firm.
- Regular in-office work days across the Firm's West Coast
offices is expected.
- This role has a hybrid work schedule and will require a minimum
of three days per week (or at least 60%) present in the office, and
up to two days per week (40%) may be performed remotely. Projects
