Job Description

The University of California's Agriculture and Natural Resources (UC ANR) Office of the Controller provides leadership, technical expertise, and strategic support in financial and business services. The Office of the Controller is responsible for organization-wide business services, compliance and control, coordination with the Office of General Counsel and with the University Auditor for legal and audit matters, and management of whistleblower complaints. The Controller's Office also manages business contracts, administrative policy, and financial services. The Controller's Office delivers efficient and effective financial and business services to the UC ANR community, collaborating with various departments across UC ANR and throughout the UC system, and partnering with external stakeholders, to support the mission of the University of California.

The Resource Planning and Management Office (RPM) oversees the administration, analysis, and reporting for UC Agriculture and Natural Resources (ANR). As a key resource advisor to leadership, RPM is responsible for managing three core functional areas: Budget Operations, Reporting & Analysis, and Capital Planning.

Position Summary:

Under general direction, this position provides administrative support to both the Controller and the Executive Director of Resource Planning and Management. It involves handling a mix of general and specialized clerical and administrative tasks essential to the efficient operation of these areas, along with other related duties as needed. The work is varied and complex, requiring a full range of specialized skills, political acumen, and in-depth job knowledge. The role often calls for adapting procedures, techniques, and tools to meet the unique needs of both leaders.

Additionally, this position may take on broad or focused assignments with general supervision. The individual in this role relies on experience and judgment to effectively plan and execute tasks while ensuring seamless support for the Controller and the Executive Director of Resource Planning and Management.

This position is a career appointment that is 100% fixed.

This position is posted as a Blank Assistant 3 but a Blank Assistant 2 may be considered depending on the level of experience of the hired applicant. Two positions are currently available.

The home department for this position is IMM OFFICE CONTROLLER BUSINESS SERVICES. While this position normally is based in Oakland, CA, this position is eligible for hybrid flexible work arrangements for applicants living in the State of California at this time. Please note that hybrid flexible work arrangements are subject to change by the University.

Pay Scale:

Blank Assistant 2: $26.26/hour to $31.82/hour

Blank Assistant 3: $29.63/hour to $36.04/hour

Administration & Business Office Support:

  • This role involves proficiency in Microsoft Office Suite and other specialized office

    software. The position works closely with the Controller and the Executive Director

    of Resource Planning and Management to manage complex calendaring and

    scheduling, ensuring that appointments, meetings, and events are well-organized

    and run smoothly. Responsibilities also include coordinating travel arrangements,

    processing travel reimbursements, and ordering necessary supplies.

  • The role involves preparing, editing, and proofreading correspondence and other

    written materials for internal and external stakeholders, ensuring consistency and

    professionalism. Strong political acumen is essential to expand on general topics

    effectively.

  • Collaborating with leadership, this position assists in updating, reviewing, and

    refining the organization's website. A deep understanding of the organization's goals

    and objectives is necessary to enhance communication and accurately convey its

    mission.

  • The role includes handling sensitive issues, prioritizing tasks, and adhering to

    established protocols while ensuring compliance with complex procedures,

    practices, and policy implementation.

  • This position may also involve coordinating large meetings and events, ensuring all

    logistical details are efficiently managed.

    Support for Projects and Assigned Duties:

  • Provide essential support for projects and tasks assigned by the Controller or the

    Executive Director of Resource Planning and Management.

  • Collaborate with UC ANR departmental teams to ensure effective coordination and

    seamless execution of responsibilities.

  • Respond promptly and professionally to inquiries related to ongoing projects,

    ensuring clear communication and efficient problem resolution.

  • Handle ad hoc assignments as needed, demonstrating flexibility and a proactive

    approach to evolving priorities.

  • Some projects may involve collaboration with internal and external departments.

    Requirements:
  • High school diploma or equivalent experience.
  • The duties performed in this role require a foundational understanding of the basic principles and methods within a technical or professional field.
  • The ability to collaborate and communicate effectively to support teamwork across the UC ANR division.
  • The ability to comprehend and apply policies, procedures, and practices to daily work, coupled with basic analytical skills to ensure effective implementation.
  • Demonstrate verbal and written communication skills to effectively engage across all organizational levels in all aspects of the position
  • The ability to work dependably under time constraints and manage high-volume workloads with a high level of accuracy.
  • The ability to effectively and efficiently utilize resources, such as websites, policy and procedure manuals, administrative handbooks, and guidelines, in managing the daily workload.
  • Experience in maintaining confidentiality and securing records.
  • Experience in reviewing and processing travel, entertainment, and procurement transactions.
  • Experience working in a university business office environment, supporting various activities and functions.
    Special Conditions of Employment:
    • The University reserves the right to make employment contingent upon successful completion of the background check.     • Occasional travel may be required.
    • Overtime may be requested on short notice to meet operational needs.
