SECRETARY BASIC FUNCTION: Under the direction of an Assistant Director or comparable level administrator, perform a wide variety of responsible clerical and stenographic work. DISTINGUISHING CHARACTERISTICS: Positions in this classification report to an Assistant Director or comparable level District Administrator. This is the entry-level classification to the District Secretarial Series and requires shorthand. Positions in this classification work on programs which are less complex and diverse than those supported by Senior Secretaries. Positions in this classification are distinguished from Clerk Typist III positions in that shorthand is required and that there is a greater degree of complexity and variety in the work performed and a greater independence of operation delegated by the Assistant Director. REPRESENTATIVE DUTIES: 1. Perform a variety of secretarial and clerical duties for an Assistant Administrator or comparable level District Administrator. 2. Receive callers in person and over the phone and provide information concerning programs and procedures of assigned office. 3. Resolve problems or schedule appointments with supervisor or appropriate staff member to relieve administrator of administrative detail; screen mail, direct attention to those items requiring personal attention. 4. Type letters, memos, policy statements, reports and other correspondence. 5. Establish and maintain appropriate files; maintain record of expenditures and accounts; may assist in preparation and maintenance of department budget. 6. Take and transcribe dictation; gather, compute and compile information and figures for reports. 7. Coordinate and attend meetings; take minutes, notes and prepare summaries and distribute to participants. 8. Maintain office supplies and operate a wide variety of office equipment. 9. Deal tactfully and courteously with parents and students by telephone and in person regarding office programs; explain office policies and procedures as necessary to District Administrators, parents and students. 10. Perform a variety of detailed clerical and administrative functions in support of the assigned programs. 11. Assemble material to be presented to the Board of Education; receive board decisions and communicate these to affected parties. 12. Prepare agendas and distribute in advance of meetings. 13. Perform related duties as assigned. SKILLS, KNOWLEDGE AND ABILITIES KNOWLEDGE OF: Education Code, Board guidelines and other rules and regulations pertaining to the program to which assigned; office methods, equipment and procedures for their use; operations, procedures and specific rules and precedents of the particular department to which assigned; English usage, spelling, vocabulary, grammar, punctuation and basic arithmetic skills. ABILITY TO: Type at a speed of not less than 55 words per minute and take dictation at a rate of not less than 90 words per minute; learn, interpret, and apply School District rules, laws and policies; compose correspondence independently; deal effectively with a wide variety of personalities and situations with tact, friendliness, judgment and poise; prepare and maintain financial and statistical records and reports; make arithmetic calculations quickly and accurately. EDUCATION AND EXPERIENCE: Any combination equivalent to a high school diploma, plus some vocational or secretarial courses beyond high school, plus at least two years of increasingly responsible secretarial experience.
