Oakmont Village Association - Northern California

Oakmont Village Association (OVA) is an Active Adult 55+ Community located in beautiful Santa Rosa, CA - Sonoma County, north of San Francisco in Northern California. OVA was established in 1964 and modeled after the Dell Webb association design. OVA has 3,206 member units with approximately 4740 members. We have four association buildings, three swimming pools and spas, Pickleball, Tennis, Bocce Ball, Lawn Bowling, and other amenities usually found in an active adult community. We are a non-gated community with 37 individual sub-associations that are managed and operated independently of the OVA. There is an assisted living facility that is also managed by an independent 3 rd party with plans of building a memory care facility.

Position Overview:

Directly supervise OVA office and maintenance managers and oversee a staff of about two dozen OVA employees.

Administer all policies established by the Oakmont Village Association (OVA) Board of Directors.

Ensure compliance with OVA governing documents and all applicable local, state and federal laws.

Ensure sound financial operation of the association.

Manage OVA contracts and business relationships.

Ensure the maintenance, protection, and improvement of association physical assets.

Support and counsel board and committee members.

Execute assigned responsibilities in an efficient, professional and ethical manner

Help the board achieve the goals established by the association’s general plan, vision, mission, goals, objectives and related policies.

Manage all aspects of community activities and services to maximize resident satisfaction.

Essential Duties and Responsibilities:

Interact successfully with support staff, board members, community residents, government entities and representatives

Prepare for and attend meetings of the Board of Directors and, as necessary, OVA committees

Meet with residents, staff, governmental agencies, vendors and others as necessary

Oversee reserve studies, reserve replacement and capital projects

Successfully manage and motivate employees

Perform duties and special projects assigned by the Board of Directors

Stay current and keep the board informed on legislative policy

Ensure accurate and timely financial reporting and preparation of annual budgets

Foster transparency and objectivity

Working Conditions:

Position requires a minimum of 40 hours per week, with additional hours required as necessary to complete essential tasks and accomplish goals

Community Profile:

Initiated in the 1960s and added to until relatively recently, Oakmont is now considered built-out

Located in the heart of Wine Country, in the Valley of the Moon

Ideally situated an hour’s drive from the ocean and San Francisco, two hours from the state capital in Sacramento, and about four hours to Lake Tahoe and various ski resorts

Over 1,000 acres, 3,200 homes and 4,700 residents

Age-restricted, ungated

Yearly operating budget of over $5M

Also in the village are located various privately-owned businesses, a fire station, medical offices and the Oakmont Gardens and a facility with independent and assisted living apartment homes, the residents of which are also OVA members

OVA is the master association; all residents are subject to OVA dues. There are 37 sub-associations, the members of which are subject to a secondary assessment that varies depending on the expenses required to operate the sub-association

OVA recently purchased the former Oakmont Golf Club, a complex consisting of 36 holes of golf, two pro shops, two clubhouses, a restaurant and various other facilities. OVA has contracted with an outside golf club operator to run the day-to-day operations of the golf club

The community is governed by a seven-member Board of Directors, the members of which serve staggered two-year terms

Staff includes over 20 dedicated employees, roughly evenly divided between office and maintenance personnel

Over 160 clubs and organizations that utilize various meeting rooms, three recreation centers and pools and various other indoor and outdoor recreational facilities

Based on the accomplishment of quarterly goals set by the board’s Personnel Committee (consisting of three board members)

Position is subject to a 360-degree review process conducted by the Personnel Committee and involving residents, staff and all board members

Compensation and Equal Opportunity Statement:

Open, within an established range, based on experience and qualifications ($100K - $200K DOE)

Selection Process:

Phase One: Interested applicants submit a current resume and statement of qualifications to the contact person listed below

Initial screening will reduce the field to those who will enter Phase Two

Phase Two: Interviews with a select committee, including Personnel Committee members

Screening will reduce the field to those who will enter Phase Three

Phase Three: Remaining candidates will have a conversation with the entire board, with an opportunity to ask questions about any topic

The board will choose the successful candidate at a regular or special Executive Session meeting

The board will inform all candidates and make an offer to the successful candidate

Should the board and the successful candidate not be able to negotiate an employment contract, the board will move on to other candidates, in order of preference, to attempt to agree on an employment contract.
