Job Description
The University of California's Division of Agriculture and Natural
Resources (UC ANR) is a statewide organization that includes
Cooperative Extension (UCCE) and UC's Agricultural Experiment
Station (AES). UCCE is a statewide network of academics and
programs, with offices/facilities located in most every California
county, on multiple UC campuses, and at nine UC ANR Research and
Extension Centers across the state. UCCE personnel engage with
their local communities to solve problems, shape public policy, and
strengthen community and environmental sustainability. Through
classes, field days, workshops, and other types of outreach, UC ANR
delivers science-based information to address California's most
pressing challenges. AES is comprised of faculty/academics,
facilities, and programs housed at five Colleges and at the School
of Veterinary Medicine on five UC campuses (Berkeley, Davis,
Merced, Santa Cruz, and Riverside).
UC ANR's event management team - the Program Support Unit (PSU) -
was created in January 2010 to support UC ANR academics, staff, and
programs by producing exceptional events on their behalf. Demand
for PSU services has grown significantly since inception and the
unit has recently been restructured into two sub-units to better
serve UC ANR's diverse needs: 1) External & Executive Events, and
2) Internal Research, Extension & Programmatic Events. Each
sub-unit is led by a separate director.
We are currently seeking a Director for the Internal Research,
Extension & Programmatic Events sub-unit. This sub-unit coordinates
approximately 200 in-person and virtual meetings, events, tours,
symposia, workshops, and conferences each year for academic and
administrative units across the UC ANR statewide system. This team
handles every aspect of event planning, including registration,
marketing, site contracts and logistics, catering, equipment,
budgets, travel arrangements, and more.
The PSU team is integral to UC ANR's mission delivery and is a
highly sought-after service partner. PSU has consistently received
some of UC ANR's highest client satisfaction scores.
Position Summary:
Reporting to the UC ANR Chief of Staff, the Director of Events
Management for Internal Research, Extension & Programs is
responsible for the comprehensive direction and oversight of a
statewide, complex events management function and team. The
Director currently supervises seven events management professionals
and support staff, all located at the UC ANR Davis office, to
ensure successful delivery of events ranging in purpose, size,
complexity, location, and audience, and is responsible for all
aspects of event management including personnel and financial
administration.
This position is primarily on-site and will be located at UC ANR's
main administrative office in Davis, CA.
This position is a career appointment that is 100% fixed.
Pay Scale: $90,300.00/year to $129,700.00/year

Key Responsibilities:

Event Management
- Ensures that client and institutional needs are met through
production of high-quality events.
- Directs and provides oversight of the events management team
who are responsible for:
- Planning, preparation, and execution of all event activities,
including but not limited to registration, event marketing,
logistics, facilities and technology management, ticketing,
lodging, participant travel and activities, concessionaires,
caterers, vendors, etc.
- Working with a wide range of internal and external stakeholders
to facilitate actions and deliverables as necessary for a
successful event
- Facilitating communication and services between event sponsors,
speakers, participants, and facility personnel
- Providing or coordinating technical support of all activities
as needed
- Provides events management guidance and instruction to all
stakeholders as appropriate.
- Ensures that the team maintains a high level of client
satisfaction as measured annually on the UC ANR Client Satisfaction
survey.
- Trouble-shoots escalated issues as they arise
- Provides guidance to and may assist team members on the more
complex and sensitive events issues and/or as required by
scheduling
- Approves vendor and facilities contracts
- May serve as high level event consultant to senior
management

Personnel Management
- Provides leadership, direction, supervision, communication,
guidance, and training to all unit staff as needed to meet events
management goals
- Coordinates staff assignments/activities to ensure delivery of
an exceptional client experience, while meeting unit goals and
objectives
- Creates a team atmosphere that ensures each staff member
understands their responsibilities and how their performance
supports co-workers, management and UC ANR
- Prepares and disseminates instructions, technical guidance, and
other required communication pieces in order to execute assigned
projects

Budget & Unit Administration
- Establishes long-term and short-term departmental goals and
objectives, functions with autonomy
- Manages the accountability and stewardship of human, physical,
and financial resources in compliance with departmental and
organizational goals and objectives
- Assesses and manages unit processes, protocols, and tools and
implements necessary improvements to maximize efficiency and
effectiveness
- Manages department and event budgets; tracks expenses and
provides timely required and/or requested reports
- Approves all events staff expense reports and ensures their
timely submission
- Liaises with many internal departments, external stakeholders,
and senior UC ANR leadership
- Facilitates communication across the team and between the team
and clients as needed
- Confers with broad based constituencies regarding comprehensive
event policies, master schedules, fees, and processes
- Understands and complies with all University of California
purchasing, contracting, and expense processing policies
- Ensures all unit personnel adhere to defined internal
controls

Requirements:
- Bachelor's degree in related area and / or equivalent
experience / training
- At least 5 years of experience in a related role
- Strong knowledge of and demonstrated experience in all aspects
of events management/production
- Demonstrated success fostering and maintaining positive client
/ public relationships
- Strong leadership / team management skills with demonstrated
success selecting, leading, directing, mentoring, evaluating,
motivating, and as required, taking disciplinary action
- Ability to foster a collaborative and cooperative work
environment and build to maintain good working relationships with
all organizational levels and events partners
- Strong communication skills: demonstrated ability to
communicate effectively verbally and in writing, both in-person and
remotely, with diverse internal and external stakeholders at all
organizational levels
- Strong political acumen and judgment: skilled in problem
recognition, avoidance, compromise, and resolution
- Creative and real-time problem solving and decision-making
skills
- Excellent organizational skills: ability to manage and
prioritize project timelines, multitask, manage demanding
timeframes, and to be flexible under pressure while ensuring client

- Strong understanding of and experience in developing and
managing a complex departmental budget
- Mastery of common productivity software including Word, and
Excel, PowerPoint, and Aventri (or other events management
software)
- Thorough knowledge of remote meeting software (e.g., Zoom) is
required
Preferred Skills:
- Knowledge of UC ANR's vision, mission, goals, programs,
structure, policies, processes and systems and/or familiarity with
the University of California policies, systems and processes
Special Conditions of Employment:
- Must possess valid California Driver's License to drive a
County or University vehicle. Ability and means to travel on a
flexible schedule as needed, proof of liability damage insurance on
vehicle used is required. Reimbursement of job-related travel will
be reimbursed according to University policies.
